Project Description

We are seeking an Expert Email Systems Architect to design and implement a high-volume, high-deliverability email engine for our Roofing SEO business. The system must safely manage cold outreach while protecting our primary business domain and ensuring transactional email reliability.

Project Scope:

1. Primary Domain & Workspace Setup

Domain: roofing-seo.com
Google Workspace setup for nicole@, phillip@, and info@
Audit and configure SPF, DKIM, DMARC for root domain

2. Transactional Email Infrastructure (GHL)

Subdomain: mail.roofing-seo.com
Fully configure for GoHighLevel (LC-Email)
Isolated from cold outreach to protect appointment reminders, invoices, and other transactional emails

3. Cold Outreach Infrastructure (“Sending Engine”)

Procure ~20 “lookalike” domains (via Porkbun/Namecheap)
Setup ~60 mailboxes (3 per domain) via cost-effective resellers (Winnr/LeadsMonky)
Configure SPF, DKIM, DMARC on all new domains
Scrub 106k lead list via MillionVerifier/NeverBounce (target bounce rate <1%)

4. Two-Phase Campaign Architecture (Instantly.ai)

Phase A: 3-step cold introduction sequence
Phase B: 100-step “Quick Tips” nurture sequence (7-day delays between emails)
Warm-up Strategy: 4-week ramp-up per mailbox (5 → 30–50 emails/day)

5. Advanced CRM Integration (GHL ↔ Instantly via Make.com)

 

Custom logic for lead management:Trigger: lead replies/clicks → add to GHL as “Lead”
Nurture: continue 100-week “Quick Tips” sequence
Stop: pause Tips when status = “Appointment Booked”
Resume: continue Tips if status reverts to “Lead”
Exclusion: unsubscribe if status = Sold, Lost, etc.

Requirements:

Proven experience with 100k+ contact lists and 50+ mailboxes
Mastery of Instantly.ai, GoHighLevel, Make.com
Deep understanding of Google 2024+ deliverability requirements

Application Questions (Mandatory):

How will you handle catch-all emails during the 106k list scrub to prevent domain burns?
In Make.com, what unique identifier ensures the “Resume Logic” correctly maps GHL contacts to Instantly leads?
Why use 20 domains instead of placing all 60 mailboxes on 1–2 domains?
